Inviting your accountant

Invite your accountant to view your records read-only: inviting and revoking from Settings, what they can and can't see, and the read-only guarantee.

Coffer lets you invite your accountant to view your records, so you can hand your figures over at filing time without exporting and emailing files. It is entirely optional and off until you invite someone. Your accountant gets read-only access: they can look and download, but they cannot change anything in your account.

Inviting your accountant

Go to Settings and find the Your accountant card. Enter your accountant's email address and send the invitation. Coffer emails them a link to get started.

  • You can have up to three accountants connected at once. If you reach that, remove one to invite another.
  • An invitation that isn't accepted expires after 14 days. Send a new one if that happens.
  • The invitation email doesn't name your business, so if you mistype the address nothing about you is revealed to the wrong person.

What happens next

Your accountant accepts the invitation and signs in with that same email address. Until they do, the card shows the invitation as Invited. Once they accept it changes to Active, and they can open their own read-only view of your records. If they decline, or the invitation expires, the card says so.

Your accountant can work with several clients from one login, but each client's account stays separate. They only ever see the accounts that have invited them.

What your accountant can see

Once connected, your accountant can view and download:

  • Your invoices and their line items.
  • Your expenses and the receipts attached to them.
  • Your tax events, the payments you've made to IRD.
  • Your client names (not their email addresses, notes, or other contact details).
  • The filing-relevant parts of your settings: GST registration and filing frequency, income tax, and ACC.

Your accountant opens each account read-only: invoices, expenses, and IRD payments, filtered by financial year and downloadable as CSV.

The reports your accountant can pull

As well as your raw records, your accountant can open ready-made reports for the financial year, on screen and as downloads:

  • Income and expenditure (profit and loss).
  • Your GST return, laid out as the GST101A worksheet.
  • A depreciation schedule for your fixed assets.
  • Aged receivables: what's still owed to you, and how overdue.
  • Invoice and expense registers, and your IRD payment history.
  • A full tax pack: everything above zipped together, with your invoices as PDFs and their receipts.

What they can't see

What stays private

An invited accountant cannot see your bank balances, your pots, or Coffer's own dashboard tax estimates. Your accountant works from your invoices, expenses, receipts, and tax events, and does their own calculations.

Read-only, always

Your accountant can never edit, add, or delete anything in your account. Everything they see is a read-only copy for review and filing. All the changes to your records still come from you.

Removing access

You're in control the whole time. Open the same Your accountant card in Settings and choose Revoke next to the accountant you want to remove. It takes effect immediately: from that moment they can no longer open your records.
